Alvin Ailey Dance Foundation (AILEY) is seeking an experienced individual to serve as our Production Administrator reporting to Ailey School Co-Director within The Ailey School department.

The Production Administrator coordinates all aspects of the production process for all school performances on behalf of The Ailey School’s Professional Division, Junior Division, and PPAS programs.

Responsibilities

  • Coordinates all production aspects of School performances for Professional Division, Junior Division & PPAS Program
  • Organize all production and postmortem meetings regarding performances and outside special events
  • Communicate with School Operations Manager, Director of Studio and Theater Operations and Technical Director to arrange for the appropriate Citigroup and Studio Theater bookings to accommodate technical & dress Rehearsals and performances
  • Create and distribute production schedules internally as well as to choreographers and participating dancers
  • Collect all choreographer information from choreographers in preparation of performances including technical and program information
  • Select and train student volunteers to act as ushers and box office staff
  • Be present for all technical & dress rehearsals
  • Be present for all performances acting as Box Office Manager, Production Liaison
  • Build and administer all ticket sales via Audience View
  • Create and send out e-blasts to Junior Division students regarding Save the Date’s and specific ticket purchase instructions leading up to Junior Division Spring Concert held at Hostos Community College and the First Steps/Bounding Boys Presentations (this includes presales and general sales)
  • Monitor and execute the floor plan for First Steps/Bounding Boys Presentation which encompasses three levels of the Ailey building; create and post appropriate signage
  • Communicate with building security prior to performances in the Ailey Citigroup Theater and Ailey Studio Theater
  • Provide Ailey’s Art Director with program information and cover image selections
  • Distribute archival footage to choreographers following events and/or performances and students (as needed)
  • Administer choreographer contracts for Professional and Junior Division and PPAS:
    • Explanation of program, fee, rehearsal period, student restrictions, props & costume budgets
  • Supervise Wardrobe Supervisor budget spending; review petty cash spending, review and approve time sheets for Supervisor and Assistants
  • Manage special events in house and offsite involving students and/or student performing groups (AFSD & ASPG)
  • Development of choreographer & performance database which tracks choreographers, ballets, music credits, crew costs, performance attendance etc.

Minimum Qualifications

  • Bachelor’s degree 
  • 1 – 3 years of production management and customer service, specifically box office experience in a theatrical setting.
  • Strong communication, organizational, and writing skills.
  • Working knowledge of Dance and Dance Production.
  • Proficiency with Microsoft Office (Word, Excel, Outlook)
  • Willingness to work some weekends and evenings during production weeks.
  • Ability to lift medium-weight items.

Compensation

$63,000 - $68,000

Benefits include health (including EAP services), dental insurance, flexible spending account, 403(b) retirement plan, and commuter benefits.
